In compliance with applicable New York and New Jersey State regulatory authorities, COVID-19 vaccination (2 doses of either the Pfizer or Moderna vaccine or one dose of the Johnson & Johnson vaccine) is mandatory for all MSK employees, contingent workers, and volunteers. Exceptions are permitted for those employees who request and receive an approved medical or fully remote exemption.
*Staff working at a MSK New Jersey location must be up to date with COVID-19 vaccination, which includes having completed the primary COVID-19 vaccination series and booster once eligible as mandated by New Jersey State. All New Jersey staff not yet eligible for a booster must receive a booster within 3 weeks of becoming eligible as a condition of continued employment at MSK.
Note: Individuals are eligible to receive a COVID-19 booster five months after receiving the second dose of either the Pfizer or Moderna vaccine or two months after the J&J vaccine.
Job Description
We are seeking a Project Coordinator in the Department of Pediatrics to support and manage various aspects of projects and/or operations primarily related to the Peds as well as Adolescent and Young Adult programs, departments, or services. This position reports to the Manager, Project Management, and works closely with the Programs team, and clinical and administrative leadership in Pediatrics. Functions include building databases, preparation of data, reports, and analytics for special projects, coordination of meetings, and on-going project support, primarily related to Peds areas. The role is responsible for serving as primary project contact, collaborating and communicating with project teams, managing projects plans, and maintaining timelines.
You will:
- Handle assigned projects and develop project plans, defining deliverables and resources required for successful and flawless execution.
- Provide metrics, reports, and analytics.
- Build, expand, and manage databases.
- Develops content for presentations/slides as assigned by leadership.
- Work closely with leadership to plan and implement new program initiatives.
- Manage tasks to achieve established goals, and escalates issues/concerns.
- Provide timely updates to project leader(s) and follow-up on action items.
- Act on inquiries or problems on behalf of the project leadership, e.g., investigating the problem, gathering the vital information, reaching out to the appropriate internal and external contacts.
- Perform all administrative duties for meetings; planning, budget development, reimbursement and payments. Coordinates travel and event planning and reconciles related expenses as needed.
- Connect with collaborators and coordinates with all team members to prioritize meetings.
- Acquires, organizes, analyzes and communicates data necessary for fulfilling project needs.
- Writes and/or edits various documents, reports and presentations .
- For assigned projects, finds opportunities to optimize workflows and improve efficiency.
- Manage ongoing departmental projects and ensure that data collection is complete and accurate.
You are:
- Adept at building partnerships and working collaboratively with others to meet shared objectives and goals
- Organized and can simultaneously prioritize multiple priorities
- Willing to take action, accept new opportunities, and tough challenges with a sense of urgency, high energy, and enthusiasm
- Flexible in your approach and demeanor in order to align with shifting demands
You have:
- 2+ years of multifaceted administrative support and project management exposure
- Experience with oncology data and projects
- Excellent verbal and written communication skills and the ability to interact across all levels in a confident, professional manner
- Advanced proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams), Zoom, and other collaboration tools

- M-F, 9-5, Hybrid
