Kaiser Permanente-Washington Permanente Medical Group is seeking a full-time (1.0 FTE) Program Coordinator, Practice & Leadership Development to join our WPMG HQ team in Renton, Washington.
The Program Coordinator is an active member of the Practice and Leadership Development (PLD) team providing program coordination and administrative support to the department. The Program Coordinator assists with the implementation of tactical elements of programs and projects that support the department, develops and employs proactive, innovative methods to manage and improve processes for the department, and demonstrates superior support to PLD Manager and team members. The Program Coordinator will also support ad-hoc projects for the department.
PRINCIPAL DUTIES & RESPONSIBILITIES
Performs program support tasks for the PLD Manager and Trainers for all PLD programs (live virtual and in-person) including but not limited to:
Coordinates, purchases, edits, and produces program materials
Corresponds with course participants (e.g. reminders, calendar invites, post-program information)
Coordinates conference room reservations/cancellations with internal facilities service. Acts as a liaison between facilities/venue coordinators at program sites.
Plans travel itineraries and makes travel arrangements for PLD program attendees and/or faculty.
Provides Zoom/MS Teams technical facilitation for live virtual courses
Coordinates and provides conference room tech equipment set up and set up of program and facilitator supplies/materials for in-person programs.
Food and beverage ordering and setup for in-person programs.
Provides support in the development, implementation, and evaluation of programs
Ensures participant registration sign in and upon program completion, CME credit delivery.
Manages the KP Learn Learning Management System (LMS) including building PLD course and program registrations, managing and tracking enrollments and completion, auto-enrolling participants as needed, managing rosters, posting Continuing Medical Education (CME) marketing materials, and ensuring alignment between LMS and PLD program calendar/website.
Assists Training Specialist and PLD Manager, in creation of PLD program calendar.
Assists in maintaining PLD website.
Creates and distributes PLD marketing materials, coordinates and executes on marketing tactical timeline, coordinates, and partners with Communications Department colleagues to effectively market PLD programs.
Coordinates scheduling and implementation of department, leadership meetings, events, and other functions including the management of meeting logistics.
Coordinates, finalizes and submits CME paperwork for PLD programs.
Processes department invoices and completes reconciliation tasks in OneLink.
Maintains and tracks all department equipment and supplies.
Manages PLD Department email inbox correspondence and calendaring
Provides program support as needed for the Washington Permanente Medical Group (WPMG) component of the Permanente Medicine & Leadership program.
Provides Zoom/MS Teams technical facilitation for team retreats, specialized trainings, and select meetings.
Tracks critical department deadlines and communicates with department staff to ensure deadlines are met.
Performs other administrative duties as assigned including cross training.
Must meet WPMG compliance and code of conduct standards.
Meets all regulatory requirements.
Associate's degree in Administration OR equivalent combination of education and experience
Bachelor's degree OR equivalent combination of education and experience
Minimum of 2 years' work experience directly related to the responsibilities specified above.
Two years' experience in human resources and project management.
Familiarity with an LMS.
Experience with multiple virtual meeting platforms (Zoom, MS Teams etc.)
