Responsibilities
This position primarily serves the Institutional Animal Care and Use (IACUC) and the Institutional Biosafety (IBC) Committees. OMRF is fully accredited by AAALAC, int. and has an assurance with OLAW. Species covered by the animal welfare act are not included in the program. Furthermore, OMRF follows the National Institutes of Health (NIH) Guidelines for Research Involving Recombinant or Synthetic Nucleic Acid Molecules. The majority of the work completed by this position is estimated to be directly related to providing administrative support to the IACUC chair and committee.
DUTIES AND RESPONSIBILITIES
• Provides full administrative support for the chairs and committee members of the IACUC and IBC, while also supporting Principal Investigators if assistance is needed in relation to one of the Compliance Committees.
• Responsible for coordinating all aspects of the Compliance Committees’ functions and activities, including scheduling and logistics for meetings, inspections, and training sessions.
• Independently coordinates, prepares and distributes the agenda and meeting materials to the Compliance Committee members for any scheduled meetings.
• Attends Compliance Committee meetings with specific responsibility for: (a) taking detailed notes of the discussions and decisions in order to timely prepare minutes of any scheduled meetings, (b) assists in the preparation of decision letters to investigators (on behalf of the IACUC, IBC or RSC Chairs) after meetings on the outcome of their animal research protocol request, (c) independent follow-up on action items from meetings.
• Reviews protocol submissions to ensure compliance with administrative requirements in advance of any Compliance Committee meeting, including: (a) completeness of the protocol, (b) investigator training requirements. Interacts directly with the PI to resolve these issues before any Compliance Committee meeting.
• Assists with accreditation and regulatory processes. Devises, modifies and maintains electronic or computerized databases and tracking systems, as identified and selected by the various Compliance Committees.
• Stays abreast of current regulations, policies, procedures, and industry standards for each Compliance Committee and disseminate pertinent information as necessary.
• Transmits authoritative information and serves as a resource regarding policies and procedures relating to Compliance Committees or related research compliance functions, with responsibility to occasionally interpret such policies and procedures.
• In assigned area of responsibility, reviews operating procedures for efficiency and effectiveness; makes minor changes or recommends major changes or improvements; may participate in planning and decisions regarding new or changed procedures.
• Performs related duties as required.
Qualifications
• Associates degree or equivalent combination of education and experience. • Experience understanding and interpreting applicable regulations and guidelines. • Familiarity with applicable federal regulations pertaining to responsible animal care and use. • Demonstrated knowledge of organizational/institutional administrative support processes, including scheduling and logistics.• Sound judgment, discretion, and demonstrated ability to interpret policies and guidelines, and to independently resolve problems of ordinary difficulty.• Excellent proactivity, planning, follow-through and organizational skills.• Excellent verbal and written communication and interpersonal skills.• Excellent timeliness, accuracy and attention to detail.• Demonstrated proficiency taking and transcribing notes and minutes and/or formal proceedings.• Demonstrated experience developing and maintaining computerized databases and tracking systems.• Proficient to advanced computer skills.
