Job Summary
Position reports directly to the Time & Labor Manager but will work closely with Payroll leadership as the business needs demand. Leads staff and supports System-wide projects (i.e., system upgrades, conversions, new implementations, etc.) while working with various cross functional teams such as Information Systems, Human Resources, Nursing, and other stakeholders, as well as customer based teams.
Responsible for ensuring timecards are accurate and compliant with organizational policies, and Federal and State Labor Laws. The Time & Labor team manages high volume, fast-paced processes in a team-oriented environment with continuously expanding responsibilities. This position may be responsible for performing routine functional configuration, creation of holiday calendars, building and maintaining hyper-finds, and training stakeholders on day-to-day activities. Position will identify opportunities for improvement and make recommendations to the leadership team. Unafraid to fail, learn and adapt as needed to find better ways to achieve the mission of Harris Health.
Directly responsible for working intermediate to complex support tickets from both internal and external customers, requires the ability to conduct research and perform calculations, analysis, and data entry to support labor processes. Applies first-touch resolution methodology to minimize escalations and reduce lag time delays in processing efforts. Coordinate with Timekeepers, HR, PR, IT, and leaders to ensure tickets are worked within a reasonably acceptable time period. Creates transparency for those involved in resolution efforts and trains stakeholders to take ownership of tasks where able.
Coordinates the time collection system's bi-weekly timecard close process and creates the corresponding interface files. Verifies Kronos bi-directional interface data to PeopleSoft HRMS is as expected. Monitors for repeat process failures and formally logs IT tickets where further assessment is needed. Review and compute complex hours and wages calculations. Perform research and analysis to correct errors and troubleshoot process/system failures within span of control. Oversee maintenance and support of these systems and data quality assurance for the benefit of Harris Health System. Assure system optimization and data integration between multiple software applications. In concert with the VP-Controller and Corporate Compliance, safeguard the system against fraud and abuse.
Performs complex historical edits without issue. Assists other Time & Labor staff in performing basic routine historical edits if appropriate. Ensure all signatures are in place and agrees with entries prior to keying. Informs leadership of any concerns and collects additional support as the situation demands.
Assist leadership in managing time and labor transactional data, investigates system errors during import of time, validation, approval and transfer processes. May perform continuous monitoring or generate control reports for rules, groups, layout sets, and other functional areas to inform leadership on areas requiring maintenance. T&L Business Partner will advise peers on best practice or organizational standards. He/she is expected to make recommendations to leadership and IT on opportunities to improve. Adheres to organizational and departmental record retention procedures at all times. Ensures appropriate signature of authority exists on requests for action.
The successful candidate must possess knowledge of time collection systems and have the ability to work both independently and in a team environment.
Ensures time collection and reporting processes within the Payroll span of control are documented, audited, accurate and timely, and ensures mandatory reporting requirements are met to mitigate risk of fines or penalties.
Deliver exceptional customer service by embracing ServiceFIRST standards of behavior during patient, visitor, staff, and inter-departmental encounters. Develop strong relationships with key stakeholders and colleagues to ensure compliance with System policies and procedures. Manage, train and coach personnel under supervision, establish priorities and set expectations and assist team members and others across the Harris Health System to understand and accurately use financial information.
Minimum Qualifications
Degrees: Bachelor's Degree in Business, Accounting, Finance or related field
Licensure and Certification: Related certifications, preferred.
Work Experience: Five (5) years work experience; Able to demonstrate progressive growth. Compile and analyze transactional data to detect or correct errors. Ability to perform calculations and data entry. Kronos Dimensions and SharePoint experience preferred.
