DescriptionJOB SUMMARY:
Assist within Gift and Donor Services by creating and maintaining VUMC gift and donor information into a proprietary complex relational database in an accurate and timely manner including preparing gifts and other documents for imaging; keying data; preparing checks and currency for deposit; documenting other types of gifts as required; and using appropriate tools to maintain data integrityKEY RESPONSIBILITIES:
Under the supervision of the Program Manager and direction of the Accounting Manager for Gift and Donor Services this position will have the following responsibilities:
Perform complex task within Gift and Donor Services including but not limited to processing gift agreements, grants, pledges, gift in kind, donor advised funds, IRA distributions and stock transactions. Preparing checks and currency for deposit; documenting other types of gifts as required while using appropriate tools to maintain data integrity.
- Maintain and ensure accuracy and completeness of all Gift and Donor Services Smartsheet records including but not limited to, Center Create, Biographical and Gift Update request.
- Assist and execute on Ellucian (Advance Gift System) database cleanup projects and enhancements.
- Work collaboratively with the Development Services team to ensure that projects are completed according to deadlines, with accuracy, quality, and integrity. Including: continuously compile, review, and analyze project outcomes against established goals, objectives, and timelines.
- recommend process improvement for program and services
- use appropriate resources to resolve problems effectively and efficiently
- Provide customer service for questions from both internal and external constituents, receive and distribute mail.
- Perform tasks in a varied and highly complex environment, exercising a high degree of judgment in selecting and applying guidelines and policy. Many duties involve access and use of confidential information.
- Develop strong working relationships with other VUMC offices to make accessing information more productive and efficient.
- Uphold departmental and institutional policies regarding confidential information including compliance with Payment Card Industry (PCI) and Health Insurance Portability and Accountability Act (HIPPA) regulations.
- Perform other duties as assigned.
** Minimum Requirements **
Bachelor's Degree (or equivalent experience) and <1 years relevant experience
Preference will be given to candidates with experience supporting donor-centered initiatives. Proficiency in most MS Office software products, particularly Excel, is required. Strong communication skills, both verbal and written, are essential. Ability to work independently, take initiative, organize multiple projects simultaneously, meet deadlines, and adapt to ever-changing priorities is essential. A detailed working knowledge of VUMC is preferred, and an ability to assemble data is important. Meticulous attention to detail is a must.
